Autaq Banquet Hall (“Autaq”, “we”, “us” or “our”) is an event venue and catering business at 5835 Kennedy Road in Mississauga, Ontario. Planning a wedding or celebration means trusting us with personal details — and we take that trust seriously.

It applies when you visit autaqbanquethall.ca (our “website”), contact us by phone, email or social media, request a quote, tour or tasting, book an event, or attend an event at our venue.

Information collected automatically on our website
When you visit our website, our hosting provider and the services built into the site may automatically receive technical information such as your IP address, browser and device type, operating system, the page that referred you, the pages you view, and the date and time of your visit. We use this to keep the website secure, make it work properly and understand how it's used. See Cookies and Third-party services.
Information from other sources
We may receive information about you from the person who booked an event you're attending, from event planners or vendors working on your event, or from public sources such as reviews you post about us on Google Maps.
At our venue
For the safety of guests and staff, parts of our premises and parking area may be monitored by security cameras. Footage is viewed only when needed for safety and security or to investigate an incident.
How we use your information
We use personal information to:
- Respond to inquiries, arrange venue tours and tastings, and send quotes
- Plan, coordinate and host your event — including menus, décor, staffing and set-up
- Prepare food safely for anyone with allergies or dietary needs
- Process deposits and payments, and manage contracts and invoices
- Send service messages about your booking, such as confirmations, reminders and changes
- Improve our menus, services and website, including through feedback and reviews
- Keep our venue, guests and staff safe, and prevent fraud or misuse
- Send news and offers — only if you've agreed (see section 12)
- Meet our legal, tax, accounting and food-safety obligations
We won't use your information for a new purpose without telling you and, where required, asking for your consent first.
Your consent
We collect, use and share personal information with your knowledge and consent, except where the law allows or requires otherwise.
- Express consent — we ask you directly, for example before adding you to our mailing list or publishing a photo in which you can be identified.
- Implied consent — when you give us information for an obvious purpose, such as filling in our inquiry form so we can reply, we use it for that purpose.
You can withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. We'll explain what that means for you — for example, we can't hold a booking without a way to contact you.
Cookies & website technologies
Cookies are small text files stored on your device. Our website, and some services built into it, use cookies and similar technologies (such as local storage) for these purposes:
- Essential — to load the website securely and make it work properly, for example to submit a contact form.
- Embedded content — features provided by other companies, such as our live Google reviews and 360° virtual tour, may set their own cookies when they load.
- Analytics — we may use analytics tools to understand, in aggregate, how visitors use our website so we can improve it.
You can block or delete cookies in your browser settings. If you do, some features — like the virtual tour or live reviews — may not work as intended.

Our live reviews are powered by Google Maps. By using that feature you are also subject to the Google Privacy Policy and the Google Maps/Google Earth Additional Terms of Service.
Our website also links to websites we don't control. We're not responsible for their content or privacy practices, so please review their policies before sharing information with them.
Where your information is stored
We and our service providers may store and process personal information in Canada and in other countries, such as the United States. Information held outside Canada is subject to the laws of that country and may be accessible to its courts, law enforcement and national security authorities. We use contracts and other measures to make sure our service providers protect your information to a standard comparable to ours.
How long we keep it
We keep personal information only as long as we need it for the purposes we collected it for, or as long as the law requires. As a general guide:
| Information | How long we keep it |
|---|---|
| Inquiries that don't lead to a booking | Up to 2 years, so we can help if you get back in touch |
| Booking, contract & payment records | At least 6 years after the end of the tax year they relate to, as Canadian tax law requires |
| Dietary & allergy details | Kept with your event file and used only for menu planning — or deleted sooner on request |
| Security camera footage | A limited period, then automatically overwritten — unless needed to investigate an incident |
| Marketing list | Until you unsubscribe |
If we've used your information to make a decision about you, we keep it long enough for you to ask to see it. When we no longer need personal information, we securely destroy, erase or anonymize it.
How we keep it safe
We protect personal information with safeguards that match how sensitive it is:
- Physical — paper records are kept in secure storage with restricted access.
- Organizational — only staff who need information to do their jobs can access it, and they are required to keep it confidential.
- Technical — our website uses encrypted (HTTPS) connections, and our systems are protected by passwords and access controls.
No method of transmission or storage is completely secure, so please don't send sensitive details such as full credit card numbers by email.
If a breach of our security safeguards involving your personal information creates a real risk of significant harm to you, we will notify you and report it to the Office of the Privacy Commissioner of Canada, as the law requires, and tell you about steps you can take to protect yourself.
Your privacy rights
You have the right to:
Access
Ask what personal information we hold about you, how we've used it and who we've shared it with.
Correction
Ask us to correct information that's inaccurate or incomplete.
Deletion
Ask us to delete information we no longer need, subject to the records the law requires us to keep.
Withdraw consent
Change your mind about how we use your information, as explained in section 4.
How to make a request
- Email or write to our Privacy Officer (see section 16) and tell us what you'd like to do.
- We may ask you to confirm your identity, so we never give your information to someone else.
- We'll respond within 30 days. If we need more time, we'll tell you why and when to expect our reply. Requests are free of charge in most cases — if a fee applies, we'll tell you the cost first.
If we can't give you access to some information — for example, because it would reveal someone else's personal information or is legally privileged — we'll explain why.
Marketing emails & messages
We'll only send you promotional emails or text messages — such as seasonal menus, open houses or special offers — if you've given us permission or Canada's Anti-Spam Legislation (CASL) otherwise allows it.
Every promotional message identifies us, includes our contact information and has an easy way to unsubscribe. We'll act on your unsubscribe request within 10 business days. You'll still receive service messages about an existing booking, such as confirmations and payment reminders.
Photos, videos & reviews
Our gallery and social media
We may photograph or film our décor, table settings and set-ups at events to share in our gallery and on social media. We'll ask for your permission before publishing images in which you or your guests can be identified, and we'll remove a published image of you if you ask us to.
Photographers and videographers you hire for your event are responsible for their own privacy practices.
Google reviews on our website
The reviews shown on our website are public reviews posted on Google Maps and displayed through Google's official tools. The reviewer's name and profile photo come from their Google account. To change or delete your review, edit it directly on Google Maps — the update will appear on our website automatically.
Children's privacy
Our website and booking services are intended for adults planning events, and we don't knowingly collect personal information from children under 13 through our website. Children often attend events at our venue as guests; any information about them, such as allergies, is provided by a parent, guardian or the event host and used only for that event. If you believe a child has sent us personal information, please contact us and we'll delete it.
Changes to this policy
We may update this policy from time to time to reflect changes in our services, technology or the law. We'll post the updated version on this page with a new “Last updated” date. If we make significant changes, we'll also let you know through a notice on our website or by email.
